Role Description

The Urban Accountant Inc is seeking a detail-oriented and organized Intake Administrator to manage the intake process of the T.U.A tax preparation process. This role is essential to ensuring a smooth workflow from client submission to task completion. The Intake Administrator will verify client identities, assign tasks to the appropriate departments, and support overall tax office operations. The ideal candidate is a self-starter who takes initiative, demonstrates leadership in task coordination and thrives in a fast-paced environment.

Key Responsibilities

  • Receive and review client submissions for completeness and accuracy.
  • Distribute client submissions to designated Associates using appropriate methods, ensuring efficient task allocation and workflow continuity.
  • Monitor and manage the flow of tasks from submission to completion ensuring timelines and deliverables are met.
  • Verify client identity during registration and ensure compliance with privacy & data protection protocols.
  • Modify and update the status of client submissions within the tax process system.
  • Provide general administrative support to tax office operations.
  • Take ownership of the intake process and identify opportunities for workflow improvements.
  • Lead coordination efforts between departments to ensure smooth task handoffs and resolution.
  • Act as a point of contact for intake-related inquiries and support junior staff when needed.

Required Qualifications

  • Post-secondary education in administration or related field is preferred.
  • 2+ years of experience in an administrative or client service role.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle sensitive information with confidentiality.
  • Strong communication and interpersonal skills.
  • Demonstrated ability to work independently and take initiative. 
  • Experience leading or coordinating tasks within a team environment.

Preferred Qualifications

  • Experience in a tax office or financial services environment.
  • Familiarity with client management systems or CRM software.
  • Bilingual abilities are an asset.

Work Environment

  • On-site position in Mississauga, Ontario.
  • Standard business hours with occasional extended hours during peak tax season.
  • Collaborative and fast-paced office setting.
